Click on ‘+ New absence’ at the top centre of the screen or on ‘+ New absence’ in the menu on the left.
If you have access to multiple contracts, first select the company or contract under which the employee is employed or insured. You can search either by name or by contract number.
To the right of this, select the employee for whom you wish to record the absence. You can search using either the name, the AHV number (social security number) or the TMA number.
The employee’s details are automatically retrieved from the connected system in the background and attached to the case.
Specify the type of absence you wish to record.
Select the type/category of illness and enter any comments or clarifications in the comments field.
eAbsence will remind you that at least one period of incapacity for work must be recorded for each absence. Record one period of incapacity for work for each medical certificate. If there is a gap between medical certificates but the absence is of the same type and is chronologically related, record a period of 0% incapacity for work in between.
To enter a period, click the ‘Add’ button, as shown in the image above. You will then see the following screen. You can enter the date manually in the format DD.MM.YYYY or click the calendar icon and select it from there. Select the percentage using the slider, or click the number and enter the percentage directly. 100% means ⇒ 100% unfit for work; 0% means fully fit for work. To save the period, click on ‘Add’.
You can repeat this step as many times as necessary for each medical certificate you have received or will receive.
Now enter all relevant documents. You can drag and drop one or more files directly from your file manager or click on ‘Upload file’. Supported file formats: PDF, PNG, JPEG, JPG, BMP.
Upload the files and select the type of document (right-hand column). In the left-hand column, you can rename the files if necessary, for greater clarity. Complete the process by clicking ‘Add’.
Once you have entered all the details, submit the report by clicking ‘Save as open’ in the bottom right-hand corner.
